Client Accountability Policy
To deliver the exceptional quality and efficiency you deserve, it’s important for both of us to stay on track during our collaboration. My role as your OBM/VA is to manage the chaos, keep things moving, and help you achieve your goals—but that only works when we work as a team. This policy is here to ensure clarity, fairness, and accountability for both of us.
Key Expectations:
- Timely Submission of Materials:
- All required materials, details, and feedback must be provided within the agreed timeline. Delays in submission may result in extended deadlines or a pause in the project until everything is received.
- If delays extend beyond [X days], an additional fee of [amount] may be applied to account for rescheduling and lost time.
- Respect for Meetings:
- Booking Policy: Meetings should be scheduled at least [X hours/days] in advance. Last-minute bookings will not be accommodated unless it’s an emergency, and additional fees may apply for expedited slots.
- Rescheduling or Cancellations: If you need to cancel or reschedule a meeting, please provide at least 24-48 hours’ notice. Last-minute cancellations (under 24 hours) or no-shows will result in a cancellation fee or count as one billable hour. This ensures that time blocked for you isn’t wasted.
- No-Show Policy: If you fail to attend without notice, the session will be considered completed, and the time cannot be refunded or rescheduled without additional payment.
- Respect for Agreed Timelines:
- Deadlines are mutual commitments. If your response is delayed or feedback isn’t provided on time, your project timeline will be adjusted accordingly.
- Please note that urgent or last-minute changes to the agreed scope or timeline may incur additional charges.
- Clear Communication:
- Consistent and open communication is key. We’ll agree on the best platform (email, project management tools, etc.) to stay updated. Please aim to respond to messages within hours/days to avoid disruptions.
- Accountability for Neurodivergent Clients:
- As someone who understands the struggles of executive dysfunction, ADHD, and other neurodivergent challenges, this policy is also designed to help you stay on track and hold you accountable. I’ll gently remind you of upcoming deadlines or missing deliverables, but I encourage you to set reminders or enlist tools (which I can recommend!) to stay aligned with our workflow. Together, we’ll make it work.
- Boundaries on Scope:
- If additional tasks or changes arise outside the original agreement, they will be assessed and added as a separate service. Clear boundaries protect both our time and energy.
- Payment Policies:
- Invoices must be paid within few days. Work will not begin or continue until payment is received, as outlined in our agreement.

When delays happen or boundaries are unclear, it can impact not just your project but others in my queue—and ultimately cost us both time and money. This policy isn’t just a rulebook; it’s a structure to ensure our partnership thrives.
